This Privacy Policy explains how Real Estate Manager Pro ("Real Estate Manager Pro", "we", "us"), operated by Digital Solutions Group, Inc, collects, uses, and shares information when real-estate agents use our platform and when visitors browse an agent's site powered by it (together, the "Service"). It is effective as of the date shown above.

Who this applies to, and who controls your data

Real Estate Manager Pro is a multi-tenant platform: each agent (or brokerage) operates their own branded website on a shared backend. This policy covers both agents who hold accounts and visitors (such as prospective buyers, sellers, and renters) who interact with an agent's site.

When you submit an enquiry, request a showing, or message an agent through their site, that agent is the controller of the information you provide and is responsible for how they use it. Real Estate Manager Pro acts as a service provider (processor) that stores and routes that information on the agent's behalf, with each agent's data kept logically separate from every other agent's. If you have a request about information you gave to a specific agent, contact that agent directly; we will help where we can.

Information we collect

  • Agent account & profile — name, email, phone, a securely hashed password, contact preference, language, and the public profile details an agent chooses to publish (bio, photo, license number and state, languages, specialties, service areas, and social links).
  • Visitor accounts — if a visitor creates an account, their name, email, phone, contact preference, and any buyer or seller profile details, saved searches, and saved listings they create.
  • Leads & enquiries (including sensitive details) — when a visitor contacts an agent, requests a showing, or saves a search that generates a lead, we store the contact details and message provided, and — only where the visitor chooses to provide them — details such as budget range, mortgage pre-approval status and amount, target areas, timeline, and notes about what they're looking for. Some of this is financial information; share only what you're comfortable giving the agent.
  • Messages — the content of messages exchanged between visitors and agents through the Service.
  • Agent CRM records — notes, tasks, and activity history that an agent keeps about their own leads and contacts.
  • Listings & site content — property listings, photos, descriptions, communities, blog posts, testimonials, and branding (logo, hero image, theme) that agents add or import. Some listings are imported from publicly available sources on an agent's behalf.
  • Usage analytics — first-party records of how listings and pages are used (for example, views, saves, and enquiries), with a session identifier, referrer, and device type (desktop / mobile / tablet). We do not log your IP address for analytics, and we do not use cross-site advertising trackers.
  • Billing information — if and when paid subscriptions are offered, payment will be handled by our payment provider, Stripe; we would not store full card numbers.

How we use information

  • To operate agent accounts and visitor accounts, authenticate users, and keep the Service secure.
  • To publish agent-branded sites and the listings, communities, and content on them.
  • To deliver enquiries, showing requests, messages, and leads to the relevant agent.
  • To send transactional and service messages (for example, saved-search alerts and showing updates) according to your notification preferences.
  • To provide optional AI features, such as property valuation estimates and the in-app help assistant.
  • To produce first-party usage analytics that help agents understand interest in their listings, and to improve the Service.
  • To process subscription billing, if and when that becomes available.

AI features

Some optional features use a third-party AI provider, Anthropic (the Claude API), to generate things like property-valuation estimates and help answers. When you use one of these features, the relevant prompt text (for example, property details or your question) is sent to Anthropic to produce a response. We send only what's needed for the feature and apply per-account usage limits.

Cookies, sessions & local storage

We do not use advertising or cross-site tracking cookies. To keep you signed in, the Service stores authentication tokens in your browser's local storage, not in tracking cookies. Some storage is essential to core features and cannot be disabled while you use the Service.

How we share information

We do not sell personal information. We share it only as needed to run the Service:

  • With the agent you contacted — your enquiry, showing request, or message is shared with that agent so they can respond.
  • Amazon Web Services (S3) — image and file storage.
  • Cloudflare — content delivery, DNS, edge caching, and security.
  • SendGrid (Twilio) — delivery of transactional and notification email.
  • Mapbox — interactive maps; loading a map shares your approximate location/viewport and IP address with Mapbox.
  • Anthropic — AI features, as described above.
  • Google Fonts — web-font delivery; loading fonts shares your IP address with Google.
  • Stripe — subscription billing, if and when offered.

We may also disclose information to comply with the law or to protect the rights and safety of Real Estate Manager Pro, our agents, and their visitors.

Marketing & communications

Agents are responsible for how they contact the leads they collect, including compliance with applicable marketing, calling, texting, and anti-spam laws (such as the U.S. CAN-SPAM Act and TCPA) and any real-estate-specific rules in their area. If an agent contacts you and you no longer wish to hear from them, ask that agent to stop, or use any unsubscribe option in their messages. You can manage the Service's own email and in-app notifications from your notification preferences.

Listing data from public sources

Some listings are imported from publicly available listing sources on an agent's behalf. We respect the published access rules of those sources and use the imported property data only to populate the agent's site.

Data retention

We retain information for as long as an account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Agents may delete leads, notes, and content from their CRM; some records may persist in backups for a limited time.

Your choices

  • Agents can access and update account, profile, and CRM information from their dashboard and admin panel.
  • Visitors with accounts can update their profile and manage saved searches and saved listings.
  • Manage email and in-app notifications from your Notification Preferences.
  • Request access to, correction of, or deletion of your information by emailing [email protected]; for data you gave a specific agent, contact that agent. Some records may be retained where required by law.

Security

We protect information using industry-standard measures, including passwords hashed with PBKDF2-SHA256, encryption of sensitive values, authenticated and encrypted (TLS) connections, and strict per-tenant data isolation so one agent cannot access another agent's data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

The Service is not directed to children under 13, and we do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the date above.
